Managing a group booking

How to reserve group tickets online

If you haven’t already, register with us as a group booker. Log in to your account and go to the page for the show for which you wish to reserve tickets. Click on ‘Find tickets’ and then choose the relevant date. You’ll be able to select your own seats. For bookings of 20+, we recommend using the ‘select by price type’ function. You can then go back to edit your booking and see which seats have been selected for you, and you will be able to amend these if needed. 

You can reserve up to 200 seats online. There is a limit on the total number of tickets that can be reserved for each performance, and when this has been reached you will have the option to pay for your booking outright or select an alternative performance.

Adding or removing seats to/from your booking

While in your account, click on the ‘Edit’ button under the booking you wish to change. On the next screen you’ll be able to review your booking’s seat numbers. To add more seats, click ‘Edit seat choice’.

Next you’ll see a floor plan of the theatre. You can zoom in and out of this map using the plus and minus symbols on the left.

Your seats will appear as orange circles. Other hollow circles in various colours represent all available seats, while the grey circles have already been reserved.

To add more seats to your booking, click on the seat you’d like to add. You’ll be presented with a photograph of the stage from the approximate location of that seat along with prices. Click ‘Select’ next to the price type you’d like to add. This seat will now appear along with the rest of your booking. If you would like to add more seats, simply repeat the process. Once you’re happy with your changes, click ‘Update Basket’.

To remove seats from your booking, you can either click on the orange circle corresponding to the seat you wish to remove and then select ‘Remove’ or simply click on the red cross next to the seat in the list that appears at the bottom of your screen. Once you’re happy, click ‘Update Basket’.

You’ll now see a review of your booking. Please note that if you’ve added seats, the new ones will appear on a separate line.

Make sure that you’ve ticked the box that states you have read and accepted the Conditions of Sale and then click ‘Update Reservation’ in the bottom right-hand corner to confirm your changes.

You will not receive an updated group booking email.

If you’ve removed seats and previously had a group discount, the reduction in seat numbers may impact the price. You will need to speak to a member of the Customer Relations team if this applies to your booking. You can contact them via webchat 10am – 5pm Monday to Saturday.

If you reduce the number of seats in your booking to fewer than 10 seats you'll no longer be eligible for a group booking – please cancel your booking by clicking on ‘Cancel Reservation’ in your account, and book seats via the website in the usual way.

Paying for your booking

In your account, click the ‘Pay Now’ button next to the booking you wish to pay for.

All the seats in your booking will then be added to your basket and you’ll be able to review and add extras such as interval drinks, parking and hotel discounts.

When you’re ready, make sure you’ve clicked ‘Accept the Conditions of Sale’ and then click the ‘Checkout’ button.

Cancelling your booking

In your account, click ‘Cancel Reservation’ next to the booking you wish to cancel. On the next screen you’ll be invited to give us the reason for cancelling the reservation.

How can I register as a group booker?

If you are new to organising group visits, please register by filling in this form, getting in touch with us via webchat, emailing group.sales@wmc.org.uk or phoning 029 2063 6464.

How large must my group be to receive a group discount?

Your group must consist of at least 10 people to be eligible for discounted performance tickets.

Can I reserve group tickets online?

If you have registered with us as a group booker you can now reserve group tickets online – no fuss, no phone queue – just a few clicks and you're done. If the agreed payment date for the show has passed, you will still be able to book for a group but you will need to pay immediately.

How many tickets can I reserve online?

You can reserve up to 200 seats online. There is a limit on the total number of tickets that can be reserved for each performance. Once this limit has been reached, the reservation option will be removed, and you will have the option to pay for your booking outright or select an alternative performance.

Can we all sit together?

When booking online, you can select your own seats. For bookings of 20+, we recommend using the ‘select by price type’ function. You can then go back to edit your booking to see which seats have been selected for you and amend them if needed.

When you receive your booking confirmation it will also note the seating area, row and seat numbers. You can edit your booking at any time on our website under My Reservations in the My Account section.

Can I reserve tickets for a school group online?

Yes you can reserve, edit, cancel and pay for a school booking online. To receive complimentary teacher tickets if applicable, please get in touch with us by emailing group.sales@wmc.org.uk.

Can I book for Hynt members as part of my group booking?

This is currently unavailable online; please get in touch via webchat or by emailing group.sales@wmc.org.uk.

When and how can I pay?

Your tickets will be reserved until the payment date noted on your reservation confirmation and on our website under My Reservations in the My Account section. Once the date has passed, the seats will be released to the public. Don’t worry, you’ll get reminder emails a month and a week before the payment date as well as the following day, so you’ll get plenty of notice!

We try and negotiate a payment date with producers which is as near to the performance as possible to give you plenty of time to secure payment from your group.

We offer lots of easy ways to pay:

  • The easiest way is online by logging in to your account
  • We can accept one cheque per booking*, which should be made payable to Wales Millennium Centre (Trading) Ltd and returned to: Group Sales Department, Wales Millennium Centre, Bute Place, Cardiff CF10 5AL. Please write the order number on back of the cheque. You will find this on your booking confirmation.
  • We also accept BACS Payments which may be made to: Lloyds TSB Acct No: 16624760 Sort code: 30-67-64 (please quote the Order Number)
  • For international payments, please use the following details: IBAN: GB52 LOYD 3067 6416 6247 60, BIC: LOYDGB21707.

*Please note: once a cheque is received, tickets will be sent within 21 days of the payment clearing.

I've lost my reservation confirmation. What can I do?

Just log in to your account online. All the details will be available under My Reservations in the My Account section.

What if someone in my group can't make the show after I've made a reservation?

We completely understand that organising a group can be complicated. Therefore, we provide you with a reservation period, so that you can collect the money and only pay for the tickets you need. You can edit your booking online at any time until your agreed payment date.

Once you’ve paid for your tickets, they become non-refundable. Please read our terms and conditions for full details.

Can I add refund protection to my reservation?

A quote for refund protection by Booking Protect can be given when you reserve tickets. However, it will need to be added again when you pay for your final booking.
